User roles and permissions

Atlas provides a flexible and secure user role management system, allowing administrators to define user permissions based on their responsibilities. This ensures that users only access the information and features relevant to their role within the platform.
1. Overview of User Roles
In Atlas, user roles define what a user can view, edit, and delete within the system. Administrators can assign roles based on team members' needs and adjust permissions accordingly.
Default Roles and Their Permissions
- Admin: Has full access to all features, settings, and data, including user management, billing, and integrations.
- Manager: Can create and manage projects, deals, invoices, and clients but may have restrictions on user management and billing.
- Team Member: Has access to assigned projects and clients but cannot modify global settings.
- Viewer: Can only view assigned projects and data without editing rights.
Custom roles can also be created to fit specific organizational needs.
2. Permission Levels
Each section within Atlas (Deals, Projects, etc.) can be configured with different permission levels:
Permission Types
- All: Users can view and manage all items in the selected category.
- Owned Only: Users can only access and modify the items they own or are assigned to them.

3. User Management Settings
Admins can control additional settings related to user management:
Roles
- Create, edit, and delete roles based on team needs.
- Assign users to different roles based on their function.
Users
- Invite, manage, and edit users.
- Control access to sensitive data and features.
Subscription & Billing
- Manage the subscription, edit or cancel plans, view invoices, and update payment methods.
Export Data
- Users with this permission can export data in CSV format for analysis and reporting.
4. How to Set Up User Roles and Permissions
- Navigate to User Management in the Atlas settings.
- Select Roles & Permissions and choose the user role you want to modify.
- Adjust permissions using the All / Owned Only dropdowns for each feature.
- Save the changes and assign users to the appropriate role.
5. Best Practices for Managing User Permissions
- Limit Admin Access: Only assign admin roles to users who truly need full access.
- Use ‘Owned Only’ Where Possible: Restrict access to personal data to enhance security.
- Regularly Review Permissions: Update roles and permissions as team responsibilities change.
